Director of Safety, Education and events
Job Description
The Director of Safety, Education and Events is responsible for the strategic leadership, planning, and execution of high-impact annual events and meetings for the Texas Trucking Association (TXTA) and Southwest Movers Association (SMA). This role manages logistics, schedules, awards, and certification programs to ensure the successful execution of events including the Truck Driving Championships (TDC), TXTA and SMA Annual Conference (AC), Safety Maintenance Council (SMC) and Fleet Management Council (FMC) seminars. The Director of Safety, Education, and Events is responsible for developing and scheduling educational content/programming for events, seminars, and meetings. This position reports directly to the Chief Executive Officer and President and the Chief Operating Officer and ensures seamless event delivery while fostering innovation, expanding and maintaining strategic partnerships, and building a culture of excellence within the event planning team.
Duties and Responsibilities
• Event Coordination and Execution: Strategically envision, orchestrate, and oversee the execution of key annual events including TXTA and SMA Annual Conference, SMC and FMC Seminars, Truck Driving Championships, and Technician of the Year Contests, delivering exceptional attendee experiences.
• Awards and Certification Management: Oversee application processes, review, and award recognition (e.g., Driver of the Year, Distinguished Service, and Truck Safety Awards). Manages certification classes and serves as liaison with educational partners.
• Vendor and Venue Coordination: Coordinate and confirm hotel accommodations, AV requirements, and event spaces. Handle room reservations for staff, speakers, and guests at key events. Maintain relationships with venues, manage contracts, and ensure all logistical needs are met.
• Materials and Supplies Management: Order awards and promotional materials (e.g., hats, buckles, plaques, patches) and manage inventory in advance of events. Coordinate with appropriate partners for rulebooks and competition materials.
• Committee and Board Support: Organize and assist with SMC and FMC Executive Committee meetings, including scheduling, agenda preparation, and follow-up. Support board-related items, ballot processes, and communication with expiring board members.
• Financial and Reporting Management: Manage and track expenses, gather receipts, and process payments associated with events. Prepare reports for team review and maintain records of certifications and awards.
• Program Development: Envision, design, plan, and implement high-quality educational programming for conferences, seminars, and special meetings. This includes identifying relevant industry topics, trends, and potential speakers or panelists.
• Speaker and Content Management: Source, evaluate, and coordinate with speakers, ensuring each session’s content aligns with event themes and organizational goals. Oversee speaker contracts, presentation materials, and logistical needs.
• Committee Collaboration: Work closely with education and planning committees to refine program objectives, gather feedback, and incorporate industry insights into programming decisions.
• Resource and Material Preparation: Develop or coordinate the preparation of educational materials, session handouts, and other resources to enhance attendee engagement and learning outcomes.
• Program Evaluation and Improvement: Collect attendee feedback and analyze session outcomes to assess the impact of programming. Continuously refine and improve offerings to meet the evolving needs of attendees and the industry.
• Certification and Compliance Support: Oversee and maintain educational standards for any certification programs, ensuring compliance with industry standards and accreditation requirements.
Qualifications
• Bachelor’s degree in Event Management, Hospitality, Business Administration, Marketing, or a related field.
• Minimum five years in event planning, logistics coordination, or project management, preferably in a professional association setting.
• Certified Meeting Professional (CMP) or Certified Special Events Professional (CSEP) designation, a plus
• Demonstrated experience in strategic planning, budget management, and team leadership
• Exceptional decision-making skills with the capacity to manage multiple projects simultaneously
• Strong organizational skills.
• Excellent verbal and written communication skills and the ability to effectively engage with stakeholders at all levels
• Strong interpersonal skills to build and maintain relationships with clients, vendors, and partners
• Demonstrated ability to anticipate challenges and develop proactive solutions
• Flexibility to adapt to changing circumstances and manage crises effectively
• Familiarity with event management software and tools for planning, registration, and attendee engagement
• Understanding of current technologies used in event production, including audiovisual equipment
• Ability to build and manage vendor and venue relationships.
• In-depth understanding of the events industry including emerging trends, best practices, and regulatory requirements
• Commitment to delivering exceptional attendee experiences and exceeding client expectations
• Meticulous attention to detail to ensure all aspects of event planning and execution are flawlessly managed
• Familiarity with the trucking or transportation industry is beneficial but not required.
